Propertybot is operated by Propertybot LLC.
What we collect
When you sign in or use Propertybot, we collect:
- Account data: the email address you sign in with, plus your name if you choose to provide one. We do not collect a password — sign-in is via single-use magic links delivered to your inbox. We do not use Google, Apple, or other third-party identity providers.
- Showing prep inputs you submit: client names you provide, buyer notes you type, public links you paste, property addresses you enter. We process this to generate the showing script.
- Generated outputs: the buyer brief, property strategies, and scripts we produce for you, stored so you can return to them.
- Payment metadata from Stripe: amount, package purchased, transaction ID, customer ID. We do not see or store your card number — Stripe handles that.
- Usage logs: timestamps and request paths, retained briefly for debugging and abuse prevention.
What we do with it
- Run the showing-prep pipeline you paid for.
- Store your past preps so you can re-open them.
- Send transactional emails (sign-in links, payment receipts, defect notices) — no marketing email without your explicit opt-in.
- Aggregate usage to improve the product (e.g., which fixtures fail more often). Anonymized — no personal data leaves your account in aggregates.
What we don't do
- We do not sell your data, and we do not share it with third parties for cross-context behavioral advertising. (For CCPA/CPRA purposes: we do not “sell” or “share” personal information as those terms are defined.)
- We do not share your buyer briefs or scripts with other Propertybot users.
- We do not train AI models on your data. The LLMs we call (Google Gemini, Inception Mercury via OpenRouter) operate under standard API terms — both providers state, under their current terms, that they do not train on API request content. See their privacy policies for current commitments.
- We do not infer or use sensitive personal categories (pregnancy, religion, medical conditions, immigration status, sexual orientation, disability, national origin, etc.) about buyers, even when public signals contain such information. Our system prompts explicitly forbid it. This is both a privacy and a Fair Housing commitment.
Where your data lives (infrastructure)
Propertybot runs on Cloudflare infrastructure in the United States:
- Cloudflare Workers for application logic.
- Cloudflare D1 for the primary database (accounts, preps, credit balances).
- Cloudflare R2 and KV for object storage and edge caching.
Data is processed at Cloudflare's US edge locations.
Third parties we depend on
Propertybot is built on these services. Each has its own privacy commitments — review them if you want full detail:
- Cloudflare — hosting, database, storage, and edge network. Privacy policy
- Stripe — payment processing. Privacy policy
- Google — Gemini API for LLM inference, plus Google Search grounding for current market data. Privacy policy
- OpenRouter / Inception Labs — LLM inference for the Mercury 2 model. OpenRouter privacy
- ElevenLabs — voice synthesis for the Listen feature. Privacy policy
We share with each provider only what's needed to perform the function above. We do not push your data to advertising networks, analytics resellers, or data brokers.
About the public signals you paste in
You can paste links to a buyer's public social profiles (Instagram, LinkedIn, TikTok, etc.) into our intake form. We do not log into those services on your behalf. We may fetch the public-facing page if accessible, but most platforms return only metadata to unauthenticated requests. The real input to the model is the notes you type — you act as the human filter for what gets surfaced.
Even with public links, our system prompts forbid inferring sensitive categories. If a buyer's public profile shows pregnancy, religion, medical condition, immigration status, etc., we instruct the model to ignore it rather than build it into the strategy.
Data retention
- Account data: kept until you delete your account.
- Generated preps: kept until you delete them or close your account.
- Payment records: kept seven years for tax/audit purposes, per US standard.
- Usage logs: 30 days, then deleted.
Your rights
You can request:
- A copy of your data.
- Deletion of your account and associated data.
- Correction of any inaccurate information.
- An explanation of what we have and how it's used.
Email hello@propertybot.aiand we'll respond within 30 days. We won't discriminate against you for exercising these rights.
California residents (CCPA/CPRA): you have the additional rights to know, delete, correct, and limit use of sensitive personal information, and the right not to be retaliated against for exercising these rights. We do not sell or share your personal information (as those terms are defined), and we do not use sensitive personal information for inferential purposes.
EU and UK residents (GDPR / UK GDPR): you have the rights of access, rectification, erasure, restriction, portability, and objection. Our lawful bases are contract performance (running the service you paid for), legitimate interests (security, fraud prevention, product improvement on aggregated data), and consent where required. You may lodge a complaint with your local supervisory authority.
Same email — same response.
Security
Sign-in tokens are single-use and signed; we store account data in Cloudflare D1 with provider-level encryption at rest and TLS in transit. We don't store passwords because we don't have any. We don't store card numbers because Stripe does. If we ever experience a breach affecting your data, we will notify affected users without undue delay and consistent with applicable state and federal breach-notification law.
Children
Propertybot is a tool for licensed real estate agents — by definition, adults. We do not knowingly collect data from anyone under 18. If you believe we have, contact us and we will delete it.
Changes to this policy
If we change anything material, we'll update the “Last updated” date above and email account holders at least 14 days before the change takes effect, when feasible. By continuing to use Propertybot after a change, you accept it.
